New Hire Pre-Boarding
HR Talent Team - Onboarding

New Hire Pre-Boarding Process

We are excited to welcome you to one of the best hospitals / health care delivery systems in the nation! As you prepare for your first day of work, our HR Talent Team - Onboarding will provide you with resources and support to ensure an excellent, first-class pre-boarding experience and prepare you for success.

Upon receiving your official offer of employment, pre-boarding is a critical first step of the hiring process. In order to ensure a successful clearance and begin employment, all items must be completed by the specific deadline indicated by your HR Talent Acquisition Coordinator. Please feel free to contact our team with any questions throughout the process.

5 Steps To A Successful New Hire Clearance (See Steps 1-5 Below):
Step 1 -
Signatures on Offer Letter & Job Description
Upon accepting our contingent offer of employment, you must sign both your offer letter and job description within the Workday System.
Step 2 -
Pre-Employment Health Screening at Workforce Health & Wellness
As part of your new hire process, our Workforce Health & Wellness Team (aka Occupational Health) will conduct a post-offer pre-employment health screening.

**Please Note: If you need to reschedule your appointment, please contact your designated HR TA Coordinator.
Step 3 -
Background Check
Your designated HR TA Coordinator will provide you with a link to complete your background check via our third-party vendor, USA Fact. This link must be completed within 24 hours.
Step 4 -
HR Compliance
Licensure & Certification
If your position requires specific licensure and/or certifications, we will contact you to provide this information to our team (e.g. AHA BLS Certification, AHA ACLS Certification, etc.).
Step 5 -
Clearance for Hire, I-9 Documentation, & New Employee Orientation
Once you officially clear Steps 1 through 4, you will receive a series of emails from the Workday System to complete your I-9 & other related new hire forms. In addition,  you will receive information regarding your scheduled New Employee Orientation Session.
Stanford Medicine - Health Care Participates in E-Verify

E-Verify is an internet-based system that compares information from your Form I-9, Employment Eligibility Verification, to records available to the U.S. Department of Homeland Security (DHS) and Social Security Administration (SSA) to confirm that you are authorized to work in the United States. Once you accept an offer of employment and complete Form I-9, the employer takes the information from your Form I-9 and enters it into E-Verify. E-Verify compares your information against records available to DHS and SSA and provides the employer with a case result within 3 to 5 seconds.
